Terms & Conditions
Bookings
All bookings will be taken by phone or email; once all details are taken the customer will have entered into a verbal or written contract and will be bound by our terms and conditions.
Payments
Full payment must be made by the date set at the time of the booking. A booking will only be confirmed once full payment has been received, unless Popcorn Event Hire has agreed an alternative arrangement in writing.
We can only accept payment by the following methods: BACS transfer, cheque or cash before the event. Any outstanding balance must be agreed in advance and paid in cash on arrival at the venue.
If payments are not made within the time scale specified at the time of booking, we will assume the booking has been cancelled and we will implement our cancellation policy and relevant charges.
Cancellation policy
All deposits paid are non-refundable; if you need to cancel a booking for any reason other than bad weather the following terms will apply:
More than 14 days notice given – loss of deposit only
10-14 days notice given – loss of deposit and a cancellation fee equal to 50% of the hire fee
Less than 10 days notice given – full charge of the hire will be due.
Bad weather cancellations – loss of deposit only. However, we must be notified of the cancellation before we leave our premises otherwise the full cost of the booking will be due.
Cancellations must be made in writing, text or by email. We suggest you request a read receipt or a signature by registered post.
Before the event
The customer must ensure we have good clear access to the area where the equipment is to be set up and there is standard power supply within 2mtrs of the Stand (unless other arrangements have been made).
In the rare event that circumstances beyond our control, e.g. road closures and traffic problems delay or stop us from fulfilling our contracted obligations, our liabilities shall be limited to a refund of all monies paid in relation to the contracted event or a pro-rata reduction in the charges for a late start, excluding any and all costs of Branded products purchased on behalf of the customer. No other compensation will be paid, irrespective of any loss of earnings or enjoyment.
On arrival
We will arrive on site, allowing enough time to set up our equipment before the start time of the booking. Any delays caused by the customer not being ready for our arrival will be the customer’s responsibility and under these circumstances there will be no compensation for the equipment not being set up on time.
Parking
For supervised bookings, on site parking must be provided and any parking fees shall be the customers responsibility. For supply only bookings, short term free parking must be provided to allow time to unload and set up the equipment.
During the event
If we are supplying equipment on a supply only basis, i.e. the customer is supplying their own attendants; the attendants must be of adult age and they will be briefed in the basic operation of the equipment. In the event of our equipment being stolen or damaged whilst in the customers care; the customer will be liable for the full cost of repair or replacement.
If we are supplying attendants for the equipment, our staff will conduct themselves in a courteous manner and will expect to be treated in a similar manner.
Our attendants have the right to refuse the use of the equipment if they feel it is unsafe for the user or anyone at the event. In extreme cases we reserve the right to terminate the booking and the customer will be liable to pay the full cost of the booking.
